Data Retention and Deletion

Current retention behavior
Workspace records, normalized support messages, reports, assets, drafts, and source configuration are retained while the workspace remains active. Original CSV files stored in R2 are also retained until workspace deletion. ReplyPilot does not currently claim an automatic time-based deletion schedule.
Connected sources
OAuth refresh tokens and manual API credentials are retained while the source remains connected or until workspace deletion. Deleting ReplyPilot data does not delete original messages from Gmail, Zendesk, Intercom, or another source.
Workspace deletion
The workspace owner can use Data controls to cancel an active ReplyPilot subscription, remove stored CSV objects, and delete workspace database records. Database relationships are configured to cascade through imports, messages, reports, assets, drafts, source credentials, and safety reviews.
Clerk authentication identity is managed separately from workspace content. Contact the address in the Privacy Policy to request deletion of the authentication identity.
Infrastructure logs and backups
Infrastructure providers may retain security, request, billing, or backup records according to their own retention schedules. These records are not used to restore a deleted workspace for ordinary product use.
Before uploading data
Remove unnecessary sensitive fields, limit uploads to support content needed for analysis, and avoid payment card numbers, authentication secrets, medical records, or other data that ReplyPilot does not need.
